Georgia insurance CE online, built to Rule 120-2-3-.12

Georgia lets online CE skip in person proctoring only if the courseware can prove time and completion. That one sentence decides how the whole platform has to work. We build it on your site so it can prove both.

What OCI requires of an online course

Georgia Office of Commissioner of Insurance and Safety Fire (OCI). Summarized from the rule text, with the citation for each so you can check it yourself.

  1. 01

    Frequent interaction to move forward

    Ga. Comp. R. & Regs. R. 120-2-3-.12(6)(c)1.

Online courses must require frequent interaction with the courseware before a student can progress, with quizzes after chapters or sections.

  2. 02

    You certify the average hours

    Ga. Comp. R. & Regs. R. 120-2-3-.12(6)(c)2.

The provider certifies how many hours of study it takes, on average, to complete the course. That figure drives the credit.

  3. 03

System proctoring only if time is tracked

    Ga. Comp. R. & Regs. R. 120-2-3-.12(6)(c)4.

System proctoring is allowed when it can be verified through courseware that tracks time. If completion and passing cannot be tracked and timed, in person proctoring is required.

  4. 04

    Twelve hours per online course

    Ga. Comp. R. & Regs. R. 120-2-3-.12(11)

An online or self-study CE course cannot be approved for more than 12 hours. Classroom courses cap at 24.

  5. 05

    Report hours within 14 days

    Ga. Comp. R. & Regs. R. 120-2-3-.12(8)

Providers certify contact hours to the Commissioner electronically within fourteen days of course completion.

  6. 06

File 45 days ahead, keep records 24 months

    Ga. Comp. R. & Regs. R. 120-2-3-.12(2)(e) and (10)

A course is filed at least 45 days before approval is wanted. Applications, materials, assessment results and completion rosters are kept at least 24 months after the course goes inactive.

How the platform is built to it

Your course, on your site, under your name. Every requirement above is a feature, not a promise in the application.

Time tracked courseware, so system proctoring holds

Every page view, quiz attempt and pass is timestamped per student, so completion and passing are tracked and timed and you are not pushed into in person proctoring.

Section quizzes as the gate

Each chapter ends in a quiz the student must clear to continue, which is the frequent interaction the rule describes.

Real averages for the hours you certify

Time data from actual students shows the average completion time, so the hours you certify to OCI rest on numbers, not a guess.

Courses split at twelve hours

Longer material is packaged as separate courses of 12 hours or less, each with its own completion record.

A 14 day reporting queue

Completions queue for electronic reporting with the days left showing, and rosters and assessment results stay archived past the 24 month mark.

The path to OCI approval

  1. 1

Prepare the course and certify its average completion hours.

  2. 2

File the course with OCI at least 45 days before you want it approved.

  3. 3

Run it with section quizzes and time tracked system proctoring.

  4. 4

Report contact hours to the Commissioner electronically within 14 days of each completion.

  5. 5

Keep rosters and assessment results for at least 24 months after the course is inactivated.

The terms

We are building one right now for a state-approved online school in Virginia, in English and Spanish, on the same terms.

One flat fee
Quoted per course before any work starts. No hourly billing and no surprise line items.
Final payment on approval
The last payment is due when the regulator approves the course, so the platform has to pass review before it is paid for in full.
No per-student fees
You keep what every enrollment pays. Nothing is skimmed per seat, per certificate or per month of traffic.
You own it
The platform, the code and the student records are yours outright, on your site and under your brand.

Questions schools ask

Do Georgia online insurance CE courses need a proctor?

Not a person, if the courseware tracks time and the provider can verify completion and passing through it. If it cannot, Rule 120-2-3-.12 requires in person proctoring.

How many hours can one Georgia online CE course be?

Up to 12. A classroom course can go to 24, but online and self-study courses stop at 12.

How far ahead do I file a course with OCI?

At least 45 days before the date you want approval.

Does Vaylo submit the course to OCI for me?

You file it. We build the platform and prepare the platform documentation the filing asks for, like how time is tracked and how quizzes gate progress.

What are the payment terms?

One flat fee per course, final payment due when OCI approves the course, no per-student fees. The platform and code are yours. We are building one right now for a state-approved online school in Virginia, in English and Spanish, on the same terms.
